Who we are
Elton JFC is the data controller for personal information held in this app. Questions: contact the club Welfare Officer or Chairman.
What we hold and why
- Player details (name, date of birth, team) — to register children with the league and run sessions.
- Guardian & emergency contacts — to reach you about sessions or in a medical incident.
- Medical & welfare notes — to keep your child safe at training/matches. Access restricted to Welfare Officer and Chairman.
- Attendance — to know who's at sessions and to calculate per-session subs where applicable.
- Fees, charges & payments — to administer club subs.
- Account details (email, phone) — to send sign-in links and event reminders.
Lawful basis
We rely on legitimate interests for running the club, contract for fees, consent for photos and marketing communications, and legal obligation for safeguarding records.
How long we keep it
Active records are kept while the child is registered. Once a player leaves, records are retained for the period set by the Chairman (default 24 months) for safeguarding follow-up, then archived or erased.
Your rights
- Access — request a copy of the data we hold about your child.
- Correction — ask us to fix anything inaccurate.
- Erasure — ask us to delete the record (some financial history is anonymised rather than removed, for the club's accounts).
- Complain — to the UK Information Commissioner's Office (ico.org.uk).
Ask the Welfare Officer or use the in-app data rights page (when signed in).
Sharing
We share only what's necessary with the league, our insurer, and our email/payments providers. We never sell your data.
Security
Access is role-based. Staff with access to children's records use two-factor authentication. Payments are reconciled from our club bank statement; we do not store card details.
